Quick reference for understanding what each case status means in Debitura and what action is required from you.

Status overview

View your case status in the Cases list. Open any case to access chat, timeline, files, and case data.

Status

What it means

Your action

Pending Contract Signing

Waiting for you to sign the Standard Debt Collection Agreement.

Sign the contract to proceed.

Pending Verification

The assigned collection partner is reviewing your case.

Wait for the partner to accept, request info, or decline.

Active

The partner has accepted your case and is working on collection.

Respond to partner requests via chat. Monitor progress.

Needs Additional Details

The partner requires more information or documentation from you.

Provide the requested information via case chat.

Collecting Quotes

Your case is being offered to the partner network for quotes.

Wait for quotes to arrive.

Pending Quote Selection

One or more partners have submitted quotes for your review.

Review and select a quote to assign the case.

Paused

The partner has temporarily paused collection activity.

Wait for the partner to resume or close the case.

Closed

The case has been closed.

Review the close code to understand the outcome.

Detailed Status definitions & Explanations

Pending Contract Signing

Pending Verification

  • The assigned collection partner reviews your case before accepting it.

  • The partner can: accept the case (Active), request more information (Needs Additional Details), or decline.

  • If the partner declines and your settings allow network distribution, the case moves to Collecting Quotes.

  • Next: Active, Needs Additional Details, or Collecting Quotes.

  • Action: None required.

Active

  • The partner has accepted your case and begins pre-legal debt collection.

  • For cases with standard terms, an exclusive collection period of 6 months begins.

  • The partner updates progress on the platform.

  • Next: Paused, Closed, or Needs Additional Details.

  • Action: Respond to partner requests via case chat.

Needs Additional Details

  • The partner requires further information from you (e.g., additional documentation, clarification, updated debtor contact details).

  • Once you provide the information, the partner can move the case to Active or Closed.

  • Next: Active or Closed.

  • Action: Provide requested information via case chat.

Collecting Quotes

  • When no exclusive partner is assigned or the assigned partner declines, the case is distributed to the partner network as a lead.

  • Partners who match your case criteria can review it and submit quotes.

  • Next: Pending Quote Selection (when quotes are submitted).

  • Action: None required.

Pending Quote Selection

  • At least one partner has submitted a quote.

  • You can accept a quote to assign the case to that partner.

  • Next: Active (under the selected quote's terms).

  • Action: Review and select a quote.

Paused

  • The partner has temporarily paused an active case.

  • Work can resume by moving it back to Active, or the partner may close it.

  • Next: Active or Closed.

  • Action: None required.

Closed

  • A case is closed when the debt is paid, the partner declines further action, or legal options are exhausted.

  • Debitura retains the history for reporting and benchmarking.

  • To understand why a case was closed, check the close code.

  • To request withdrawal of an active case before closure, see Close or withdraw a case.

Notes

  • Collecting Quotes and Pending Quote Selection apply when a case is distributed to the partner network (either because no exclusive partner is assigned or the assigned partner declined).

  • Creditors have full visibility of status transitions through the portal and are notified when their input is required.

  • For real-time notifications via your own systems, configure webhooks.
