Collection Partners: How to use File AI and Case AI for document analysis

Debitura provides two AI assistants to help you work with case documents: File AI for analyzing a single document, and Case AI for questions that span the full case. Use them to get quick summaries, translations, and answers.

Goal

Learn how to open File AI and Case AI in the partner portal, ask questions about documents and case data, and understand when to use each assistant.

File AI vs Case AI: when to use each

Choose the right assistant based on what you need to analyze:

Assistant

Best for

Context loaded

File AI

Questions about a single document (contract, invoice, correspondence)

Only the specific file you have open

Case AI

Questions that need information from multiple documents or structured case data

Case data from the invoice view plus up to five files on the case

Steps to use File AI

  1. Open Cases Received in the partner portal and select a case.

  2. Navigate to the file you want to analyze (for example, a contract or invoice attachment).

  3. Open the file details to access the File AI modal.

  4. Choose a quick action or type your own question:

  • Summarise: "Please summarise the file down to the absolutely most important points."

  • Translate: "Please provide a very short to the point summary in Spanish."

  • Questions: "Are there a clear delivery date agreed in this document?"

  1. Submit your question and wait for the response. Answers may take a moment depending on file size.

  2. Continue the conversation with follow-up questions if needed. The chat history is preserved during your session.

Steps to use Case AI

  1. Open Cases Received in the partner portal and select a case.

  2. Open the Case AI modal from the case view.

  3. Review the list of files that will be included in the analysis. You can remove files from the context if they are not relevant to your question.

  4. Choose a quick action or type your own question:

  • Summarise case: "Please summarise this case."

  • Translate and summarise: "Please translate and summarise the case in Spanish."

  • Key details: "What are the key details about this case?"

  1. Submit your question and wait for the response.

  2. Continue the conversation with follow-up questions if needed.

Result

You receive an AI-generated response based on the document content (File AI) or combined case data and documents (Case AI). You can copy the response to use elsewhere or continue asking follow-up questions in the same session.

Important notes

  • Permissions: Both assistants respect your existing partner permissions. You can only chat about files and cases you already have access to in the portal.

  • Response time: AI responses may take a few moments depending on file size and complexity. A loading indicator shows that processing is in progress.

  • Session history: Chat history is preserved during your session but is not saved after you close the modal.

  • File limit for Case AI: Case AI loads up to five files from the case. If a case has more files, only the first five are included in the analysis.
