Clients: How to request a Data Processing Agreement (DPA)

A Data Processing Agreement (DPA) is available to every client on request. This guide walks you through Debitura's self-service DPA wizard, where you can generate, review, and digitally sign your DPA online.

Goal

Complete and sign a Data Processing Agreement (DPA) with Debitura using the built-in DPA wizard. A DPA is available to every client on request and is optional - you do not need one to use Debitura. The process takes five steps and can be completed entirely online.

Before you begin

  • You must have an Admin role on your Debitura account. Only admin users can access the DPA wizard and sign legally binding agreements.

  • Have your company details ready: company name, registered address, city and country (postal code is optional). The wizard also has an optional Registration number field - you do not need one to complete the DPA, including in the EU.

  • Open the wizard from the user menu at the top right: Account Settings > Data & GDPR, or go directly to https://app.debitura.com/DpaWizard. Your progress is saved as you go, so you can leave and come back later.

Steps

Step 1: Check your company details

The wizard shows your company details, pre-filled from your account: company name, registration number, address, contact person and contact email. It also shows who will sign under Signing as - the admin user you are logged in as.

If everything is correct, click Confirm company details. To correct something, click Edit details. Changes you make here only apply to this agreement - they do not change your account settings. The details appear on your signed DPA exactly as you confirm them. You can still change them until you sign; after signing they are locked.

Required fields: company name, country, registered address, city, contact person and contact email. Registration number and postal code are optional. If someone else should sign, invite them to your team as an admin and ask them to complete the wizard.

Step 2: Review the agreement and confirm your authority

The full agreement is shown on the page with your company details filled in. You can also download it with Download PDF preview. Read the agreement, tick the box confirming that you have the authority to sign this Data Processing Agreement on behalf of your company, and click Continue to signature. To correct a detail first, click Edit company details.

Step 3: Sign the agreement

Draw your signature in the signature pad (click Clear to start over). A single tap or dot is not accepted - draw a stroke. Your signer name and email are shown under the pad, taken automatically from your account - there is nothing to type in. When you click Sign agreement, the system generates the signed PDF, stores it securely and sends you a confirmation email with the signed PDF attached. To go back to the agreement, click Back to review.

Step 4: Add the privacy-policy text

This step starts with your signed agreement: its file name, the signing date and a Download link.

Under GDPR Article 13, you must inform your customers that Debitura processes personal data on your behalf. The wizard gives you a short text for this, which includes a link to Debitura's data protection information. Click Copy text, add the text to your privacy policy, then tick the box confirming you have added it and click Finish setup.

Your DPA stays In progress until you finish this step, even though it is already signed.

Step 5: Your DPA is complete

The status changes to Completed. The page keeps your signed agreement, which you can download at any time, and the privacy-policy text, which you can copy again.

Result

After completing all five steps, your signed DPA is stored securely. You will receive a confirmation email with the signed PDF attached. Your DPA status is shown under Account Settings > Data & GDPR, and you can download the signed document there at any time. Once signed, your DPA also appears as a Data processing agreement (DPA) card on your Contracts page, next to the Standard Debt Collection Agreement, with the signing date and a View signed DPA link back to this page.

Edge cases

  • Need to correct company data after signing? Delete DPA and start again appears below the wizard once your DPA is signed (steps 4 and 5). The confirmation asks you to download your signed copy first and has a Download signed DPA button; click Delete and start again to confirm, or Cancel to keep everything as it is. The previous DPA is kept for audit purposes but can no longer be downloaded from this page, and a new one is started from your account's company details.

  • DPA template updated by Debitura? If Debitura updates the DPA template, you can delete and restart to sign the latest version.

  • Not an admin user? Ask your company's account administrator to complete the DPA wizard. Only users with the Admin role can sign.
