Clients: How to connect Zoho Books and sync invoices

This guide explains how to connect your Zoho Books account to Debitura and import unpaid invoices for debt collection. The integration uses secure OAuth2 authentication and automatically maps invoice and customer data to Debitura cases.

Goal

Connect Zoho Books to Debitura so you can import unpaid invoices and create collection cases without manual data entry.

Prerequisites

  • An active Debitura client account. If you are new, see Getting started with Debitura.

  • A Zoho Books account with access to the organization you want to connect.

  • Permission to authorize third-party applications in your Zoho account.

  • The Admin role in your Debitura company. Other users can see connections and view invoices, but only admins can connect, reconnect or remove an integration.

You can see our video tutorial below:

Steps

Step 1: Open the Integrations page

  1. Log in to the Debitura client portal at app.debitura.com.

  2. Select Zoho Books from the list of available integrations.

  3. Click Connect to begin the OAuth authorization flow.

Step 2: Authorize Debitura in Zoho

  1. You will be redirected to the Zoho login page. Sign in with your Zoho account credentials.

  2. If you have multiple Zoho Books organizations, Debitura automatically connects to the first one associated with your account.

  3. Review the permissions Debitura is requesting and click Accept to grant access. Debitura only requests read-only access to your invoices, contacts, and settings - it cannot create, edit, or delete any data in your Zoho Books account.

  4. You will be redirected back to Debitura. Confirm the integration is now marked as active.

Step 3: Open and review your unpaid invoices

  1. Go to Settings > Integrations and click View invoices on your Zoho Books connection. You can also choose Unpaid invoices in the Add case menu.

  2. The Unpaid invoices page lists your unpaid Zoho Books invoices grouped by debtor, and you can also view them invoice by invoice. Search and filters update the counts shown for Ready to review, Missing details, Not due yet and Sent to Debitura.

  3. Wait until the list has finished loading. Rows shown while invoices are still loading are provisional, and you cannot review or start them yet. To work with what has loaded so far, click Stop and use loaded invoices. A stopped or limited list can leave out other invoices from your Zoho Books organization - the page tells you when invoices may be missing.

  4. Check that customer name, amount, and due date match your records.

  5. If debtor details are missing or wrong, you can correct supported debtor details - such as name, address, debtor type, email and phone - on the Unpaid invoices page before you start. Corrections apply to that Zoho Books customer's invoices and are not written back to Zoho Books. Corrections you have not yet submitted last only for this visit: refreshing the page discards them. Once you start a case, the corrections you made are kept for that case. Amounts and currency cannot be edited here.

Step 4: Create collection cases

  1. Select the invoices suitable for debt collection. Invoices must meet case eligibility requirements.

  2. Start collection on the selected invoices. Each invoice becomes a separate case - invoices for the same debtor are never combined into one claim.

  3. The system validates required data (debtor details, address, amount) before creating each case.

  4. View your new cases in the Cases list.

Ready to review does not mean collection is already allowed. When you start, Debitura checks current collection coverage, your applicable minimum claim amount, required agreements and division access, and reads the invoice from Zoho Books again. An invoice can still be refused at this point, for example if its balance, currency or customer changed in Zoho Books. Each invoice gets its own result, and a refused invoice does not stop other eligible invoices from starting.

If an invoice shows Not confirmed, do not start it again. Check the result of that same request first, and contact support if it stays unclear.

Result

Your Zoho Books account is connected to Debitura. Your unpaid invoices are available on the Unpaid invoices page, and you can create collection cases directly from your accounting data. Duplicate invoices are automatically detected using the Zoho Books invoice ID.

Edge cases

  • Multiple Zoho organizations: If you have multiple Zoho Books organizations, Debitura connects to the first one associated with your account. To connect a different organization, disconnect the current integration and reconnect.

  • Token expiry: Debitura automatically refreshes OAuth tokens. If the connection shows Reconnect needed on Settings > Integrations, Zoho Books no longer accepts Debitura's access: an admin clicks Connect again on that row to re-authorize. If it shows Sync failed, Debitura retries automatically and reconnecting is not the fix; if failures continue, contact support.

  • Performance notes: Large invoice volumes may take longer to load. Rows shown while invoices are still loading are provisional; wait until loading finishes, or click Stop and use loaded invoices. A stopped or limited list can leave out other invoices - the page tells you when invoices may be missing.

  • Data centres: Debitura supports all eight Zoho Books data centres (US, EU, India, Australia, Japan, UK, Saudi Arabia, and Canada). The correct data centre is detected automatically during the OAuth connect flow - no manual configuration is needed.

If your integration stops syncing or shows errors, see Accounting integration not syncing for troubleshooting steps.
