Collection Partners: How to submit a legal quote (escalation)

This guide explains how to submit a competitive quote when you receive a request for quotes through Debitura’s network. This applies when a case is distributed for custom pricing rather than auto-assigned under standard terms.

Goal

Submit a quote for a lead you have received, including your pricing terms and proposed approach, so the client can compare options and select a winner.

Before you start

Make sure you meet these requirements before submitting a quote:

  • You have received a request for quotes. Quote requests appear as tasks in your Task dashboard when Debitura matches your coverage criteria (jurisdiction, claim amount, debtor type) to a case that needs custom pricing.

  • The request is ready for bidding. You cannot submit quotes on requests that are still being reviewed or already closed.

  • The quote window is still open. Quote requests accept submissions for 120 business hours (Monday to Friday, 9:00 to 17:00) or until the maximum number of quotes is reached (typically 3 to 5).

  • Your referral link is active (Legal Network Partners). If you are a Legal Network Partner, you must maintain an active referral link on your website to access leads. See Referral link requirements for Legal Network partners for details.

Note: If you are an Exclusive Partner with an auto-assigned case and want to propose custom pricing instead of standard terms, use the separate How to submit a custom quote workflow instead.

Steps

  1. Open the Task dashboard.
    Go to Tasks in the partner portal. Under the New Cases tab, you will see all quote requests you have been invited to respond to, with their status and deadline.

  2. Select the quote request you want to respond to.
    Click on the task to open the case details page. Review the case information: claim amount, debtor details, jurisdiction, and any notes from the client.

  3. Review the case details.
    Check the claim type, documentation provided, and any special circumstances. Use the chat thread to ask the client questions if you need clarification before quoting.

  4. Choose your pricing model.
    Select one of four agreement types for your quote:

  • Hourly Rate - charge by the hour for your work

  • Flat Fee - a fixed amount for handling the case

  • Success Fee - a percentage of the amount recovered

  • Hybrid - a combination of the above (for example, a flat fee plus success fee)

  1. Enter your pricing details.
    Fill in the relevant fields for your chosen pricing model. Include any estimates or ranges if applicable.

  2. Describe your proposed approach.
    In the "Proposed Solution" field, explain how you plan to handle the case. Be specific about your strategy, timeline, and any special expertise you bring.

  3. Add your value proposition (optional but recommended).
    In the "Why Choose Us" section, explain why the client should select your quote. Highlight relevant experience, success rates, or local expertise.

  4. Submit your quote.
    Review all information and submit. Your quote status changes to "Sent" and the client is notified.

Result

After you submit your quote:

  • Your quote appears in the client's list of options with status "Sent".

  • A chat thread is created (or reused if you already asked questions) so you can continue communicating with the client.

  • The client has until the quote window closes to review all quotes and select a winner.

  • You will be notified when the client makes a decision. If your quote is selected, it changes to "Accepted" and the case is assigned to you. If another quote is selected, yours changes to "Declined".

Your referral link is not active or verified

Update your referral link in your account settings. See Referral link requirements.

Quote window has expired

The quote window (120 business hours) has passed

This request is no longer accepting quotes. Watch for future quote requests and respond quickly.
