Collection Partners: How to report a recovered payment

When you collect money from a debtor, you need to report the payment in the Partner Portal. This guide walks you through the exact steps to record the payment, explains what happens behind the scenes, and covers common edge cases.

Prerequisites

Before you can report a payment, confirm that:

  • The case is in Active, Paused, or Needs Additional Details status. Payments cannot be added to cases in Pending Verification or Closed status. See case lifecycle for details on case statuses.

  • You have received payment from the debtor or confirmed a direct payment to the client.

Steps to report a payment

  1. Open the case. Go to Cases Received and click on the relevant case to open the case detail view.

  2. Open the Add Payment modal. Locate and click the Add payment button. This opens a modal with a two-column layout: a form on the left and a financial overview on the right.

  3. Select the payment recipient. Choose who received the payment:

  • Collection Partner - Select this if the debtor paid you directly. The commission is marked as paid immediately because you already hold the funds.

  • Creditor - Select this if the debtor paid the client directly. You will later invoice the client for your success fee.

  1. Enter the payment amount. Specify the gross amount received. The system calculates the distribution automatically based on the payout rules.

  2. Enter the payment date. Record when the money was received.

  3. Review the distribution. Check the financial overview on the right side of the modal. It shows:

  • The creditor's portion

  • Your collection partner amount (success fee plus any added fees)

  • Debitura's revenue share

  1. Save the payment. Click Save Changes to record the payment.

What happens after you save

When you save a payment, the system:

  • Creates a Payment record with the gross amount, recipient, and date.

  • Creates a matching Payout record that splits the funds between the creditor and you.

  • Updates the case's remaining balance by subtracting the payment amount.

  • Records the transaction in your Partner Balance ledger.

If the debtor paid you directly, your commission payment status is marked Paid immediately. If the debtor paid the client, the status remains Pending until the client pays your invoice.

Edge cases

Full payment received

When the payment fully covers the remaining balance, the modal transitions to a "Complete Payment Received" state. A Go to Payment button appears instead of the standard Save button. After saving, you will typically close the case.

Partial payment received

For partial payments, simply enter the amount received. The case remains open and the remaining balance is updated. You can add additional payments as they come in.

Debtor pays the client directly

In some jurisdictions or situations, the debtor bypasses you and pays the client. In this case:

  1. The client informs you of the payment.

  2. You register the payment with Creditor as the recipient.

  3. You invoice the client outside Debitura for your success fee and any added fees.

  4. Once the client pays your invoice, update the commission payment status to Paid.

Verifying your recorded payments

To review all payments and payouts, go to Partner Balance. This page shows what you have earned, what has been sent to clients, and what remains outstanding. For a full explanation of the fields, see Partner Balance reference.
