Goal
Invite coworkers to your Debitura partner portal, assign appropriate roles, and manage who receives notifications about your cases.
Before you begin
You must have the Admin role to invite or remove users. Users with the User role cannot manage team members.
Each new user needs a valid email address.
Steps to invite a coworker
Go to the Users page in your partner portal.
Click Invite user.
Enter the person's name, email address and role (Admin or User) and submit. A duplicate check runs as soon as you leave the email field and flags an address that is already on your team.
Admin: Full administrative access. Can manage partner settings, contracts, team members, and API keys.
User: Can handle assigned cases but cannot manage the partner account or invite other users.
The person receives an invitation email. If they are new to Debitura they set a password from the link. If they already have a Debitura login - for example because they work with another client or partner organisation - no new account is created and their existing password still applies; they simply accept the invitation while signed in as that address. Access begins only once they accept.
Result
Once the user accepts the invitation, they appear in your team list and can log in to the partner portal. They will receive task notifications based on their role and notification preferences.
Pending invitations
Invitations that have been sent but not yet accepted appear in their own card on the Users page, showing the invited date, email address, role and expiry. Invitations expire fourteen days after they are sent. Resend issues a fresh link, resets the fourteen days and invalidates the previous one; Cancel revokes the invitation immediately. Only Admins see this card.
Changing someone's role
In the Role column, click the pencil icon next to the person's current role, choose Admin or User in the Edit user role modal, and save. You cannot change your own role - the pencil is absent on your own row.
Removing a user
Go to the Users page.
Find the user you want to remove and select the delete option.
Confirm the removal.
When you remove a user:
If this is their only connection to any Debitura organisation, their entire user account is deleted.
If they have access to other organisations (for example, a client account), only their access to your partner account is removed.
You cannot remove yourself from this page - your own row shows a dash instead of a delete action.
How notifications work
Task notifications are sent to all active users linked to your partner organisation, regardless of task assignment. This ensures that if one team member is unavailable, others can step in.
Notifications include:
Daily new task summary: Sent every afternoon listing tasks created in the last 24 hours.
Overdue reminders: Sent weekly if any tasks have passed their deadline.
Users can opt out of task digest emails in their Notification Settings.
Access to several partner organisations
The same login can hold access to several partner organisations. When it does, a Change Partner entry appears in the user menu. Roles are per organisation - being Admin at one partner does not make you Admin at another.
