Collection Partners: How to invite coworkers and manage users

This guide explains how to add team members to your partner account, assign roles, and ensure the right people receive case notifications. You will also learn how to remove users and troubleshoot email delivery issues.

Goal

Invite coworkers to your Debitura partner portal, assign appropriate roles, and manage who receives notifications about your cases.

Before you begin

  • You must have the Admin role to invite or remove users. Users with the User role cannot manage team members.

  • Each new user needs a valid email address.

Steps to invite a coworker

  1. Go to the Team Members page in your partner portal.

  2. Enter the new user's email address and select a role:

    • Admin: Full administrative access. Can manage partner settings, contracts, team members, and API keys.

    • User: Can handle assigned cases but cannot manage the partner account or invite other users.

  1. Submit the invitation. The system sends an email to the new user.

  2. The invited user clicks the link in their email to set a password and activate their account. The system sends up to three reminder emails if the invitation is not accepted.

Result

Once the user accepts the invitation, they appear in your team list and can log in to the partner portal. They will receive task notifications based on their role and notification preferences.

Removing a user

  1. Go to the Team Members page.

  2. Find the user you want to remove and select the delete option.

  3. Confirm the removal.

When you remove a user:

  • If this is their only connection to any Debitura organisation, their entire user account is deleted.

  • If they have access to other organisations (for example, a client account), only their access to your partner account is removed.

How notifications work

Task notifications are sent to all active users linked to your partner organisation, regardless of task assignment. This ensures that if one team member is unavailable, others can step in.

Notifications include:

  • Daily new task summary: Sent every afternoon listing tasks created in the last 24 hours.

  • Overdue reminders: Sent weekly if any tasks have passed their deadline.

Users can opt out of task digest emails in their Notification Settings.
