Referral Partners: Why are my earnings stuck in Pending?

Pending earnings are normal, not a bug. Why an earning waits in Pending, what moves it to Ready to Invoice, and when to contact us.

If some of your referral earnings sit in the Pending tab of your dashboard, that is expected. Pending means the payment behind that earning has not been recognised on our side yet. Nothing is broken, and nothing is lost.

What Pending means

Pending is the first stage in the earnings lifecycle. The earning is real, but it stays in Pending until Debitura recognises the revenue behind it. We recognise revenue only when the collection partner has settled Debitura's platform fee for that payment, meaning the fee is confirmed as received. Until that happens, your commission share cannot move out of Pending.

For the full list of earnings stages and how revenue sharing works, see Using the dashboard to track cases and earnings and Revenue sharing and financial reconciliation.

The most common reason: the debtor paid your client directly

The number one reason an earning sits in Pending is that the debtor paid your client directly, instead of paying through the collection partner. This is a good outcome, because the debt got resolved. But since the collection partner never handled the money, Debitura's platform fee has not been confirmed to us yet, so we cannot recognise the revenue (or your commission) until it is.

Nothing is stuck on your side. It is a direct-to-client payment that is still waiting to be confirmed.

Other reasons an earning stays Pending

More generally, an earning stays in Pending whenever the platform fee behind it has not yet been confirmed to Debitura. Whatever the route, the earning moves on by itself once the collection partner settles that fee and we recognise the revenue.

How long it takes, and what we do about it

Direct-to-client settlements are slower than the standard flow, because confirming them is a manual process of reconciling with the client and matching the payment. You do not need to chase anything. Debitura runs an automatic reminder and escalation process on unpaid items:

  • A first reminder is sent once a payment has been unpaid for about 30 days.

  • A second reminder and an escalation follow about 10 days later, roughly 40 days after the payment was first recorded.

  • Separately, our operations team runs a regular review of older, higher-value unpaid items and follows up on them directly.

What moves an earning to Ready to Invoice

Once the payment is confirmed and Debitura recognises the revenue, the earning leaves Pending automatically. It progresses through the earnings stages, and when it reaches Ready to Invoice you can invoice Debitura for your referral fee. You do not need to do anything to move an earning along.

When to reach out

If an earning has been in Pending well beyond the timelines above and you would like a status update, contact support and include:

  • The client name or names the earnings relate to.

  • The approximate date the earnings first appeared in Pending.

  • The amounts, if you have them.

For contact channels and response times, see Support channels, SLA, and escalation.
