This reference page lists the documentation and evidence requirements for submitting debt collection cases to Debitura. Requirements vary based on claim value and claim type.

Documentation requirements by claim value

Documentation requirements depend on the claim amount (converted to USD). The table below summarizes what you need for each tier.

Automatic approval if other validation checks pass. You may still upload supporting documents.

Medium claims

($2,000 - $10,000 USD)

File upload OR description field

Either attach a document or fill in one of the case description fields.

Large claims

(over $10,000 USD)

File upload required

At least one supporting document must be attached.

Documentation requirements by claim type

Unpaid invoice and Loan repayment claims

Follow the claim value thresholds above.

Complex claims (all other claim types)

Regardless of claim amount, complex claims (disputes, returns, chargebacks, contested amounts) require both:

  • At least one file upload

  • A completed description field

Documentation requirements for B2C cases

If your debtor is a private individual (B2C case), both a file upload and a completed description field are mandatory regardless of claim value. This enhanced requirement ensures collection partners have sufficient context and evidence when dealing with consumer debtors.

Description fields

For medium-value claims, you can satisfy documentation requirements by completing any of these description fields instead of uploading a file:

Explain the basis of the debt (goods/services provided, contract terms, payment terms)

Dispute description

Describe any disputes or objections raised by the debtor

Creditor comments

Add background context, prior collection attempts, or communication history

Request

Specify preferred collection approaches or special handling instructions

For large claims, descriptions are recommended but do not replace the file upload requirement.

Contract requirements

Before your case can proceed to a collection partner, you must have signed:

  1. Standard Debt Collection Agreement (SDCA) - Signed once during onboarding

  2. Power of Attorney (PoA) - Signed when your case is assigned to a specific partner

If contracts are not yet signed, your case will remain in "Pending Contract Signing" status until complete.

Best practices for evidence

Recommended:

  • Upload original documents (PDFs preferred over photos)

  • Ensure text is clear and readable

  • Include all pages of multi-page documents

  • Upload only documents directly related to the debt

Avoid:

  • Screenshots of documents (upload original PDFs instead)

  • Heavily redacted documents that obscure key details

  • Compressed images where text is unreadable

  • Multiple copies of the same document

Where to upload documents

Upload documents when creating your case in the Create Case page. After case creation, you can add more files from the case details page in your Cases list.

What happens after upload

Uploaded documents are stored securely and reviewed during the two-stage validation process:

  1. Automated validation - Debitura checks documentation completeness and data quality

  2. Partner review - The assigned collection partner reviews your case and documentation
