Collection Partners: File permissions and client visibility

Debitura organises files into categories based on where they are attached:

Allowed file formats and size limits

All upload forms across the platform share the same rules:

  • Maximum file size: 25 MB per file

  • Allowed formats: PDF, DOC, DOCX, XLS, XLSX, JPG, JPEG, PNG, TXT, ZIP, CSV, EML

One exception: lead quote offers are restricted to PDF only.

What you can do with files

View / Download

You can view and download any file attached to a case, client relationship, or lead that belongs to you. Downloads use a secure, time-limited link that expires after one hour.

Upload

You can upload files to cases you are working on and to client-partner relationship records. For the step-by-step process, see Upload documents and evidence.

Delete

You can only delete files that you (or your organisation) uploaded. You cannot delete files uploaded by the client or by Debitura. Deletion is a soft delete: the file record is marked as removed and the stored file is deleted from storage.

How delete permissions work

Every file in Debitura records who uploaded it using two fields: the uploader type (Creditor, Collection Partner, or Backend Admin) and the uploader organisation ID.

The delete rule is straightforward:

  • Your uploads: If the file was uploaded by a Collection Partner user in your organisation, you can delete it.

  • Client uploads: Files uploaded by the client (Creditor) cannot be deleted by you.

  • Admin uploads: Files uploaded by Debitura backend admins cannot be deleted by you.

  • Legacy files: Older files that do not have uploader context recorded remain deletable by both parties.

This prevents one party from removing another party's documents while still allowing you to manage your own uploads.

Client visibility

Your access to client information and files is scoped to the client-partner relationship. This means:

  • You see files and data only for clients who have an active relationship with you.

  • Each relationship is tied to a specific creditor. If the client has divisions, files may be further scoped to a specific creditor division.

  • Permission checks verify that your user account belongs to the collection partner linked to the relationship before granting access to files or chat.

To browse your client relationships and their files, go to Clients in the partner portal.

Where to find files in the platform

  • Case files: Open a case from Cases received. Files, chat, timeline, and case data are all accessible from the case detail view.

  • Client relationship files: Open a client from Clients. The detail page shows files shared within that relationship.
