Clients: Your Business Information profile and who reads it

What your Business Information profile holds, that collection partners read it, and how a Business Review fills it in without overwriting your own edits.

Business Information is a page in your Debitura settings where you describe your business once, instead of answering the same questions in every case. Collection partners read it. This article explains what is in it, who can see it, and how a Business Review can fill it in for you.

What it is

Business Information lives at Settings > Business Information in your Debitura account. It is a description of how your business works: what you sell, how you contract, how you invoice, and how you want partners to represent you when they contact your debtors.

The profile belongs to your company as a whole, not to a single case or a single partner. The same description applies across every case you submit and every partner you work with.

Every field is free text, every field is optional, and none is ever required. You can fill in the ones that matter to you and leave the rest empty. Each field holds up to 5,000 characters.

Who can edit it, and who can read it

  • Editing requires the Creditor Admin role. Other users in your account cannot open the page.

  • Reading: the collection partners working your cases see the profile, read-only. It appears for them when they start a case, on the case itself, and on their page for the relationship with your company.

This is the point most worth knowing: what you write here is read by the partners collecting on your behalf. It is not an internal note to Debitura. If a profile is empty, partners see nothing at all rather than an empty form.

What the profile covers

Twelve fields, in four groups:

  • Your business - what you sell, your typical transaction size, and the countries or regions you operate in.

  • Customers and contracts - how new customers start doing business with you, what terms they agree to, and how contracts are created, signed and stored.

  • Invoicing and collection - how you create and send invoices, your standard payment terms, and the point at which you escalate an unpaid invoice to collection.

  • Disputes and how you want partners to work - how you handle disputes and complaints, the brand, tone and language partners should use with your debtors, and your priorities, meaning the trade-offs you want partners to respect. Preserving the customer relationship and maximising recovery are not always the same goal, and this is where you say which one matters more.

How fields get filled in

There are two ways you can get a value into a field yourself. Debitura staff are a third source, covered under "Telling where a value came from" below.

You edit it yourself. Open the page, change the field, and click Save for that field. Every field has its own Save button, and nothing is stored until you click it. There is no form to submit at the end and nothing saves on its own, so if you fill in three fields and navigate away without saving each one, all three are lost. Save as you go.

A Business Review fills it in. When you submit a Business Review, up to ten of the twelve fields can be filled automatically from your questionnaire answers. Questions you left blank are skipped rather than clearing what is already there. This surprises people, so it is worth stating plainly: answers you give for a compliance review become part of the profile your collection partners read.

Two fields are never filled this way, because they exist only on this page and are not asked about in a review: brand, tone and language, and your priorities. If you want partners to have that guidance, you have to write it here yourself.

Can a review overwrite what you wrote?

No. A Business Review only fills a field that is empty, or replaces a value that came from an earlier Business Review. A value you typed yourself is never overwritten, and neither is one Debitura added for you.

So a review answer acts as a starting point you can correct. If you edit a field after a review has filled it, your version stands, and the next review will not silently replace it.

Telling where a value came from

Each field shows a small label underneath saying where its current value came from:

  • Added by you with a date - you or a colleague with the Creditor Admin role typed it.

  • From business review with a date - it came from a Business Review submission.

  • From Debitura with a date - Debitura staff added or corrected it.

  • Not set - the field is empty.

Use the label to check, before an important case, whether the description partners are reading is still one you would stand behind. A field marked "From business review" carries the words you wrote for a compliance questionnaire, which are not always the words you would choose for a partner contacting your customer.

Clearing a field empties it and returns it to "Not set".

If something looks wrong

If a field shows a value you do not recognise, or you cannot open the page and believe you should be able to, contact Debitura support at [email protected] and include your company name and which field is affected.
