Collection Partners: Getting started submitting cases for your own clients (managing partner)

Managing partner walkthrough: submit a case for your client or your own company, follow it, and close it, with links to the detailed guides.

This tutorial takes you from your first submission as a managing partner to case closure. You submit a case for a client you represent, or for a debt owed to your own company, and another collection partner does the recovery. Each step links to the detailed article instead of repeating it.

What you will accomplish

  • Submit a case for a client you represent or for your own company.

  • Know what happens between your submission and the collection partner starting work.

  • Follow the case, answer requests, and close it when needed.

You are a managing partner on every case you submit to Debitura's network for another partner to collect. You stay the point of contact for your client throughout. For the full explanation of the role, see Managing partner role.

Prerequisites

  1. A signed Standard Debt Collection Agreement (SDCA). The submission form is not available until you have signed it. See How to sign the Standard Debt Collection Agreement (SDCA).

  2. Your client's authority. The first time you set up a client you represent, you confirm that your company has the client's authority to create and manage collection cases on its behalf. You confirm once per client, not once per case, and no document upload or client signature is needed in the platform. See Legal setup when you submit cases via your Partner account.

  3. An eligible claim. The portal form accepts Unpaid Invoice and Loan Repayment claims, and only undisputed ones. Cases submitted through the API are always created as Unpaid Invoice.

Part 1: Submit your first case

Step 1: Open the submission form

In the partner portal, open Submit Case, or go to Cases Submitted and use the Add button.

Step 2: Choose whose claim it is

The first question is Whose claim is this? Choose one:

  • My own company: the debt is owed to your company. There is nothing to enter, because your company details come from your Partner Settings. Your company is set up as a client record automatically the first time, and every later case reuses it.

  • A client you represent: pick a client from the Clients I represent tab of your Clients directory, or create a new one. A new client needs a company name, registered address, city and country. Debitura checks your own clients for a similar company and offers to reuse it instead of creating a duplicate.

Either way, the client on the case is a shadow client: a client record with no Debitura login of its own. You are its point of contact.

Step 3: Enter the claim and debtor details

Enter the claim (type, amount, currency, dates, comments and optional documents), then the debtor (type, name, contact details, address and jurisdiction). For the full list of fields and document requirements, see How to upload outbound cases to Debitura's network.

Step 4: Review the routing and success fee

Before the case is created, Debitura shows you a fixed offer: the success fee percentage, who is submitting the claim, the claim amount, the collection partner the case will go to, and the standard collection contract terms. The review is only valid for a short time. If you change the case or the review expires, you review the updated offer again. Success fees: how pricing is calculated explains the fee, and How case allocation works explains how the collection partner is chosen.

Submission stops at this step in two situations: no collection partner is available for the debtor's country and claim details, or the collection partner resolved for the case would be your own company. The second check applies to every partner type. In both situations you can go back and change the case details.

Step 5: Submit the case

Submit the case. You see a confirmation with the case reference and the name of the collection partner the case was routed to. Documents you attached upload in the background. If an upload fails, you are pointed to the case's file section to retry, and you do not need to resubmit the case.

Developer Docs: To submit cases from your own system instead, read the Collection Partner API and integration overview. Developers: register each client once and send its client ID with every case, instead of the company name and country each time. See Developer Docs: Collection Partner API.

Part 2: From submission to closure

Step 6: Debitura verifies the case internally

The case first goes through Debitura's internal verification, shown as Pending Verification Internal. The collection partner cannot see it during this time. You keep full visibility under Cases Submitted, and you can still pull the case back (Step 10).

If validation finds information that only you can supply, you receive a task and an email. Open the case's data-request page, correct the debtor details, add an explanation or documents where asked, and send one complete response. Only people on your team can answer. Debitura then rechecks the case, and reviews it internally if something is still open.

The task types and the response page are explained in Clients: How to respond to tasks and information requests. That article is written for clients in the client portal, so its menu steps differ from yours. As a managing partner, you find open tasks in the action items panel on the case.

Step 7: The collection partner decides

When internal verification is complete, the case appears in the collection partner's Cases Received list as Pending Verification. The partner then does one of three things:

  • Accepts: the case becomes Active and the work starts.

  • Requests more information: the case moves to Needs Additional Details. You answer in the case chat and mark the More Info Needed task done.

  • Declines: because your client is managed by you, the case is not offered to the wider partner network. It closes with the close code Case never started. See the section on accounts managed by another collection partner in Clients: Partner declined my case - what happens next?.

Step 8: Follow the case and act on it

Open the case from Cases Submitted. As a managing partner you can:

  • Message the collection partner with Contact partner, including attaching files. See How to communicate with clients in Debitura for how chat and notifications work.

  • Reply to chat tasks and mark them done in the action items panel.

  • Add case documents with Add New File on the case files card.

  • Pull the case back or request its closure from the Actions dropdown (Step 10).

Some things stay with the collection partner: recording payments, changing the case status directly, deleting case files, and legal foundation documents. To ask for legal action, write to the collection partner in the case chat. Signing a contract and assigning a bank account are not done by you in the platform: those tasks point you to the collection partner or to Debitura support. The full list is in Managing partner role, and Case status definitions and allowed actions explains each status.

Step 9: Watch for fee requests

When the collection partner on a managed case invoices its commission, you are the payer, not your client. Your team receives the invoice email and its reminders, each with a link to the Fee requests page. The page lists the invoices payable by your company under To pay, Paid and All. Opening one shows its summary, activity timeline, invoice PDF and a link to the case. The page is read-only, it has no sidebar entry, and only your team can open an invoice.

Step 10: Close the case

What the Actions dropdown offers depends on the state of the case:

Case state

What you can do

Not yet accepted by the collection partner: Pending Verification Internal, Pending Verification, Leads or Leads Quote Given

Close case pulls the case back. It closes at once, no fees apply, and no collection period starts.

Active, Paused or Needs Additional Details

Request case closure. The collection partner must confirm before the case closes.

Any other open state

Close case opens an information-only window. You cannot close the case directly.

A closed case stays readable without a collection partner. It shows outcome wording written for clients, a Why was this closed? option and a new-case action.
