Collection Partners: How to correct case data and how it affects pricing

How to correct case data on a case you are collecting, which fields you can edit at each stage, and how edits re-price the success fee.

As the assigned collection partner, you can correct most case data yourself once a case is being worked. This guide shows which fields you can edit at each stage, how to make the change, and how edits can re-price the success fee.

Pending Verification

Review the case. You can edit debtor details and add fees, or set "Needs Additional Details" to ask the client for more before you accept. You accept or decline the case here. See How to review and approve a new case.

Active, Paused, or Needs Additional Details

Full editing. You can change the principal, interest, reminder and collection fees, the invoice date and due date, debtor details (except jurisdiction), the claim type, the dispute status, your own partner reference, and the assigned collector.

Closed

Read-only. You can reopen a closed case only if an unpaid balance remains.

šŸ“‹ Non-Exclusive (Legal Network) partners: on quote-based cases the fee is the custom quote you agreed with the client. Editing amounts or dates keeps that quoted rate, so the standard age surcharge described below does not apply.

How to edit case data

  1. Open the case from Cases Received.

  2. To change the amount or fees, use the pencil next to Principal, Interest Fees, Reminder Fees, or Collection Fees in the Economical overview panel.

  3. To change dates, the claim type, the dispute status, or your reference, open the Case information section and click the pencil next to the field. Editing a date opens the Update Invoice Dates window, where you set the Invoice Date and Due Date and can add an optional comment.

  4. To correct debtor contact or identity details, use the Debtor data section in the same way.

  5. Save the change. It is recorded on the case timeline and is visible to the client.

How edits affect the success fee

Changing the principal, due date, currency, or gross amount re-runs the pricing calculation, because these inputs decide the fee. One of two things happens:

  • Standard (SDCA) rate: if the recalculated success fee would move by more than 0.1 percentage points (for example, the change crosses a claim-amount bracket), you see a confirmation showing the current and the new rate. The edit is not applied until you confirm it. A move of 0.1 points or less applies automatically.

  • Custom quote or otherwise agreed rate: the amount change applies, but the rate is always kept. You cannot re-price an agreed rate to the standard rate yourself. Contact Debitura if that is needed.

The due date matters most for older debts. Debt age is measured from the due date on the case, and claims more than 12 or 24 months old carry an age surcharge on top of the base rate. Debt age is based on the invoice due date recorded on the case, not the date of the underlying goods or service. If an old debt was only invoiced recently, its age is measured from that recent due date. Correct the due date if it does not reflect when payment first fell due.

What you cannot change yourself

Some fields are locked because they affect routing, payment, or the client's own record. Ask for these through the case chat, and the client or Debitura makes the change:
